DESCRIPTION

The UC San Diego Structural Engineering Department is currently comprised of approximately 25 faculty, 5 researchers, 500 undergraduate students, 150 graduate students, and 33 staff members. The Structural Engineering Department offers BS, MS and PhD degrees with specializations in the areas of civil structures, geotechnical engineering, computational mechanics, aerospace structures, and structural health monitoring/nondestructive evaluation. The department is home to the world-class Charles Lee Powell Structural Engineering Laboratories, Caltrans Seismic Response Modification Device (SRMD), and the Englekirk Structural Engineering Center (ESEC). Through these facilities, our faculty and researchers have access to some of the most innovative and productive research infrastructure in the world.

Provide administrative support to SE faculty and research groups in a fast-paced environment. Under supervision, the incumbent is independently responsible for managing purchasing, reimbursements requests, travel arrangements for faculty members and their research groups by using UCSD online processing systems and adhering to UCSD policies and procedures. The incumbent will also be responsible for organizing conferences, symposiums, seminars, special events. Coordinate the Technical Reports (SSRP/TRP) for the Department, including editing and finalizing the reports, producing reports in electronic and hard copy format and submitting them to the required agencies. Additional duties also include inventory tracking, and working with vendors to ensure best possible price and quality of purchases, assisting the SE Business Office when required, mail distribution and front desk liaison.

QUALIFICATIONS

  • Minimum one (1) year experience in office administrative duties.

  • Demonstrated skill in preparing and maintaining schedules and appointments and ability to use independent judgment in arranging travel, meetings and seminars.

  • Skill to perform and knowledge of computer-based systems.

  • Ability to work independently and effectively with a minimum of supervision. Exercise independent judgment and apply knowledge of UCSD policies and procedures.

  • Ability to work effectively under stress of meeting deadlines with frequent interruptions.

  • Ability to accurately using proper formats with proven skill to proofread own work.

  • Skill in typing complex mathematical equations accurately.

  • Superior English language skills including: ability to identify and properly spell basic scientific terminology, good composition skills for written communication, good oral communication skills, the ability to recognize grammatical and punctuation requirements and edit text when necessary, ability to read college-level material.

  • Ability to understand and follow written and oral instructions without repetition.

  • Ability to compose concise messages and notes.

  • Ability to analyze complex situations and provide solutions using independent judgement.

  • Skill in preparing and maintaining schedules and appointments and ability to use independent judgment in arranging travel, meetings and seminars.

  • Excellent interpersonal and communication skills using tact, diplomacy and flexibility to interact with faculty, staff, students, visitors and public from various cultures and backgrounds.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $78,258 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $37.48

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
