We are looking for a responsible, organized, and detail-oriented individual with prior administrative/office assistance experience, to join our Food and Beverage department as Food & Beverage Coordinator. This is a full-time, salaried position with excellent benefits (specifics based on classification and position and is subject to eligibility period) and the individual will be based at our corporate office in Honolulu, Oahu.

This position reports to the Senior Director of Food & Beverage. The Food & Beverage Coordinator assists the food and beverage management team to ensure successful service delivery of guest experience needs.

Essential Job Functions:

The essential duties and responsibilities of this position include, but are not limited to general administrative duties to the Food & Beverage department as well as:

General Administrative (35%):

  • General office duties: telephone and messaging, interoffice mail, maintain office supplies and material, travel arrangements, fax/photocopy/e-mail communications, schedule/coordinate meetings
  • Schedule meetings, rooms and coordinate calendars as requested; Coordinate meetings and travel arrangements
  • Record, transcribe and distribute meeting minutes within appropriate time frames
  • Prepare presentations, special reports, memoranda, transcribing, word processing, spreadsheets, compose letters and routine correspondence
  • Photocopy, fax and/or e-mail information and documents as needed or requested
  • Coordinate departmental correspondence to facilitate on-going communications and efficient departmental operations

Food & Beverage Development (40%):

  • Track & Manage: Interviews & onboarding for department employees and managers/chef by F&B location.
  • Draft detailed program manuals and training for department.
  • Assist with training, to include travel to stores.
  • Updating order guides/new product updates
  • Expense management for department and by location
  • Management/building of excel spreadsheets.
  • Set up and update vendor information and new accounts.
  • 3rd party menu management & updates for all F&B locations
  • China, glass, silver ordering and tracking management
  • Uniform tracking & management by location
  • Project tracking and management against timelines for projects
  • Order office/restaurant supplies, training materials & signage

Reporting (25%):

  • Collection, compilation, distribution of all department reports on Connect, NCR etc.
  • Weekly Sales and Labor Reports
  • P & L and Goal Reporting for Supervisors, Managers & Chefs
  • Expense and initiative tracking and reporting
  • Backend Item Maintenance
  • Item management software maintenance
  • New item set up- Point of Sale, Item File

Other duties as assigned.

Skills/Ability:

  • Must have strong interpersonal, written and verbal communication skills
  • Must have ability to multi-task
  • Must have excellent attention to detail and strong organizational skills
  • Must have ability to work as part of a team in a fast paced, deadline driven environment
  • Must have ability to work independently with minimal supervision
  • Customer service skills helpful

Qualifications

  • High school diploma or equivalent, required.
  • Minimum 2 years of customer service experience in restaurant, events, and/or hotel environment, required.
  • Minimum 1-2 years’ experience in an administrative assistant role, preferred.
  • Proficient in Microsoft Office applications including Word, Excel, Outlook.
  • Computer skills: knowledge of software, database, word processing programs.
  • Must comply with all company policies and requirements including the dress code policy.

Physical Requirements:

  • Regularly required to sit
  • Use hands to finger, handle, or feel; reach with hands and arms; and talk or hear
  • Occasionally required to stand and walk for long periods of time
  • Must frequently lift and/or move up to 10 pounds; occasionally carry up to 25 pounds

Communication Requirements:

The position requires talking to employees, supervisors, managers, executives, and outside trade persons/vendors; written communication to employees, supervisors, managers, executives, and outside persons/vendors; responding to written or verbal requests; reading; composing written language; receiving verbal and written instructions.
