Essential Duties and Responsibilities:

Personnel:

Ensure compliance with federal and state laws, and Salvation Army policy and procedure.

Provide oversight of the retention of all personnel files for all Albany Corps Community Center departments. Ensure that timecards are being completed and signed in a timely manner per policy. Consult with Corps Officers as any issues arise. Provide human resource management, recommending to Corps Officers and the divisional Human Resources Department all actions relating to staff, including, but not limited to hiring, orientation, training, discipline and dismissal.

Property:

Provide administrative support for property matters such as proposals, leases, upkeep and maintenance agreements by calendaring due dates, completing maintenance and repair tickets, sending reminders and notices to keep such matters current.

Keep maintenance schedule, making sure all Salvation Army Albany Corps vehicles are properly maintained. Keep insurance records on all property and vehicles making sure to add and delete property from coverage in a timely fashion. Make sure office equipment, including copiers, computers, telephones, etc., are maintained in good working order. Make sure all safety equipment (fire extinguishers, first aid kits, etc.) is inspected, maintained, and supplied. Inform corps officers of property needs and make recommendations for maintenance, replacement, and upgrades as may be required for each situation. Maintain proper inventory of The Salvation Army Albany Corps equipment, furnishings, and supplies per Salvation Army policy while utilizing the inventory management system.

Finance:

Process all invoices. Be mindful of cash requirements. Notify Corps Officers of unusual or out- of-ordinary expenses. Review budget to assist Corps Officers and Family Services with maintaining budgets within established schedules. Assist in gathering and maintaining information required for internal and external audits. Process and forward to appropriate departments all documents related to income (e.g., Sunday collection, White Mail, petty cash, etc.). Maintain proper records and files. Process all invoices as they are received and submit to Corps Officer for payment authorization. Verify for accuracy and completeness financial reports prior to distribution from Albany Corps offices. Provide financial reports and related information as requested.

Seasonal:

Work with Corps Officers and employees in Salvation Army seasonal activities such as Christmas assistance intake, toy distribution, kettles, camp registration records, etc.

Provide human resource management, recommending to Corps Officers, and other applicable staff members personnel actions relating to seasonal staff, including, but not limited to hiring, orientation, training, discipline and dismissal. Work with Corps Officers to solicit funds from foundations and individual donors and businesses for projects, and programs.

Office:

Receive, pick-up, sort, and distribute daily mail. Answer phones, check messages, and direct or forward calls to the appropriate department or person. Assist Family Services when needed and ensure waiting area is kept clean and in order. Order and ensure that all office related supplies are kept in stock and organized. Keep a current list of community resources available to clients in Linn-Benton Counties and distribute information to all staff. Drive to Post Office, bank, and other businesses as needed as part of duties.
