BROAD SCOPE AND FUNCTION:

The Osher Lifelong Learning Institute (OLLI) is a membership organization that offers classes and other activities to individuals over age 50. The majority of our members are between 65-85 years of age so this is a great position for someone particularly interested in working with older adults. The OLLI Program Assistant will join a small staff (OLLI director and two part time program assistants).

The program assistant position is primarily a customer service position which supports current Osher Lifelong Learning Institute (OLLI) members in a variety of ways including class support (in person or on Zoom), coordinating the OLLI Plus bi-monthly talks on the main SFSU campus, and administrative support. This position could grow in hours, pay and benefits over time.

REPORTING RELATIONSHIP:

This position reports to the OLLI director, under general supervision, and will work closely with the other OLLI Program Assistants.

DUTIES AND RESPONSIBILITES:

·-Manage a twice a month program (in-person) called OLLI Plus at San Francisco State University (main campus on Holloway) including booking speakers and keeping track of compensation, managing room rental, arranging coffee and shuttle.

-Provide classroom assistance for in-person classes at 160 Spear Street in San Francisco, or Zoom classes from hmoe or the office. Whether the class support is in person or on Zoom would change by session as each class is assigned to program assistants.) This includes classroom set up and meeting and greeting participants.

-Oversee once per quarter information sessions called OLLI 101 (on Zoom).

-Create Session Management sheets in Google to keep track of classes

-Coordinate/mail/email a monthly OLLI Plus newsletter.

-Work in our Registration System including setting up catalogs, assisting people with registration, changes, etc.

-Create session evaluation forms in Survey Monkey

-Assist promoting classes like emailing prior registrants and posting to Facebook

-Track in person gatherings

-Other tasks as needed

TYPICAL PHYSICAL REQUIREMENTS:

The person will have to navigate stairs on the main San Francisco State campus, occasionally carry bags up to 20lbs.

TYPICAL WORKING CONDITIONS:

The coordinator must be present at meetings at the main SF State campus on the 2nd and 4th Mondays of the month from 12:30 – 3:00.

Some shifts may require you be in person at our downtown campus at 160 Spear Street and other classes would be managed via Zoom either from your home or from 160 Spear Street.

MINIMUM REQUIREMENTS:

Experience and aptitude for administrative tasks

Organization and detail orientation skills

Customer-service oriented and personable

Excellent communication skills

College degree (Associates Degree or Bachelors Degree)

Fluency in English

Skills in Microsoft Office, Google Suite, (including spreadsheets) and Zoom Video Conferencing

PREFERRED QUALIFICATIONS:

Preferred qualifications include:

-experience working with older adults

-familiarity with DocuSign

Job Type: Part-time

Pay: $21.00 per hour

Schedule:

  • Day shift
  • Monday to Friday

This is a Hybrid position which requires both in person and remote work. Following the requirements of San Francisco State University while in person, everyone is encouraged to wear masks and must be vaccinated.
