GENERAL STATEMENT OF DUTIES:
The Operations Manager, officially classified as Administrative Assistant I, a member of the Center for Student Experience and Career Development team, has primary responsibility to assist the Executive Director and all other staff with the operational functions for the Center, consisting of Career Services, Student Involvement, and New Student Orientation. Serve as point person for the Center's physical space, human resource management, technology needs, assist in event management, and oversee the Sam the Ram mascot.

SUPERVISION EXERCISED:
Direct supervision of Student Center Assistants, Center Interns, and Sam the Ram student employees.
SUPERVISION RECEIVED:
Reports directly to the Executive Director for Student Experience and Career Development.
DUTIES AND RESPONSIBILITIES:
- Provide operational administrative support for Executive Director which includes responding to inquiries from students, faculty, staff, administration, vendors and the general public. All communications regarding students are conducted with strict confidentiality in accordance with the Family Education Rights and Privacy Act.
- Serve as management of all Center for Student Experience and Career Development operations, including spaces overseen by the Center. Work directly with IT for all technology operations, manage inventory of all spaces, and ensure all office equipment and supplies are in place.
- Serve as a point person for the Center with University Facilities and Information Technology Services.
- Responsible for all Center website pages, updating in a timely manner.
- Oversee operations of game room, including inventory and upkeep of equipment.
- Manage and supervise the Sam the Ram mascot student employee program, including hiring, scheduling, and payroll.
- Manage and supervise the Center's student assistants and interns, including hiring, scheduling, and payroll.
- Oversee and manage all human resource paperwork for all student employees and contract employees.
- Responsible for creating reports related to Center operations, and larger assessment reporting determined by the Executive Director. Prepare, analyze and review periodic and annual reports based on department functions for use by Executive Director. Create, update and maintain databases for New Student Orientation and other Center programs and services.
- Support event coverage for key University programmatic initiatives such as: New Student Orientation, Homecoming, Career Fairs, Student Organization Fairs, Black and Gold Beginnings, Admitted Student Receptions, Sandbox, Commencement, etc.
- Some travel may be requested to serve as travel staff for student trips.

WORKING CONDITIONS:
- Majority of work hours take place in an office environment requiring use of computer and telephone.
- Working both indoors and outdoors for certain events and activities, includes standing for periods of time, bending, crouching and any other body movements associated with event support.
- Minimal evening and weekend hours as events require.
- Some travel with student groups on buses, other provided transportation or own transportation.
- Hybrid work may be available when not needed for certain events, activities, meetings and low student presence time periods on campus.
Job Requirements:
MINIMUM QUALIFICATIONS:
- Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) any equivalent combination of the required experience and the substitutions below.
- Proficient in Microsoft Office products.
- Full knowledge of office management practices.
- Ability to multi-task in a fast-paced student-oriented office.
- High comfort level navigating a wide range of discussions with students
- Detail oriented, with a focus on organization
- Ability to work effectively with professional, non-professional, and student personnel
- Ability to work with a diverse workforce and student population
PREFERRED QUALIFICATIONS:
- Completion of bachelor's degree
- Valid driver's license
- Knowledge of the Banner system for processing requisitions for purchasing.
- Knowledge of Handshake employment platform.
- Working knowledge of design software such as Adobe Creative Suite, and Canva
- Confidence in making administrative/procedural decisions that fall in line with best practice, and professional candor
Additional Information:
This is a full-time, 48-week, non-exempt, benefits-eligible position in the American Federation of State, County, and Municipal Employees (AFSCME) bargaining unit with a title of Administrative Assistant I. The bi-weekly pay rate is $1,820.73 (grade 15, step 1) applicable to weeks works.
Proof of the initial COVID-19 vaccine is required of all individuals hired by FSU, to be verified after a verbal offer of employment has been accepted, and before employment begins.
