Position Summary
Job Responsibilities
- Handles more complex patient requests for appointments and schedules accordingly; provides referrals, assists in selecting a physician, and provides organizational guidance on expectations.
- Responsible for making, confirming and cancelling appointments for both new and existing patients.
- Manages patient expectations for all scheduled appointments and provides information to patients regarding their visit.
- Maintains a productive, collegial level of communication and collaboration with the staff of referring practices, patients and clinical departments to assist in the execution of daily workload tasks and the overall mission of the Physician Organization.
- Represents the Practice Manager when unavailable.
- Participates in pilot programs as they are developed.
- Under direction, delegates follow-up activities to fellow staff.
- Maintains inventory of supplies, equipment and/or reagents. May order supplies/equipment/reagents as authorized or ensure that needs are escalated appropriately. Receives supply orders and confirms accuracy of delivery. May assist with cost control.
- Verifies patient insurance eligibility and obtains necessary pre-authorization numbers, if required, prior to appointment date. Facilitates the communication and collection of any fees due from patient.
- Monitors scheduling activity, identifies workflow issues and makes recommendations to improve efficiencies.
- Maintains and reviews scheduling reports for quality checks and correction of errors.
- Ensures adequate staffing during peak times, lunch coverage and staff absences.
- Assists with data entry for call quality reporting documentation, training assessments and report preparation.
- Monitors referrals to facilitate patient appointments for urgent care cases.
- Reviews electronic appointment requests and schedules or assigns to staff for resolution.
- Monitors quality of customer service and accuracy of information provided by staff by listening to live and recorded calls. Provides feedback to leadership for follow-up.
- If applicable, provides front desk and check-out coverage as needed.
- Attends off-site outreach events on behalf of the department as needed, in order to promote the department’s services to potential new customers.
- Responsible for monitoring surgical schedules and physician availability to manage release time accordingly and in advance.
- If applicable, processes referral requests within the practice management system and contacts appropriate parties to schedule requested appointments.
- Documents patient interactions and notes within the practice management system.
- If applicable, keeps abreast of new faculty members scheduling within scheduling system profiles.

- High School Diploma

Knowledge, Skills and Abilities
- Must be articulate and possess a professional demeanor.
- Ability to demonstrate excellent customer service skills in person, via email and on the telephone.
