You may be who we are looking for if you have:
1. At least 2-3 years of experience with in-house payroll processing.
2. A bachelor's degree in business, accounting, or related field preferred. May consider 5 or more years of related experience in lieu of the degree.
3. Experience with UKG software (a definite plus!)
JOB SUMMARY
Responsible for processing bi-weekly payroll in an accurate and timely manner. Prepares required governmental reports, prepares management reports, and remits taxes and other amounts withheld for John Knox Village, affiliated companies, and clients of Premier Life Management, Inc. Maintains time and attendance system and payroll module of HR/Payroll system. Maintains confidentiality of company and employee data. Supportive of the Village’s mission, values, and service/hospitality (PRIDE) expectations. Completes training hours as required by policy.
ESSENTIAL JOB FUNCTIONS
- Ensures employees are paid accurately based on documents approved by management and completed by associates.
- Communicates with managers (designees) to assure the approval process deadlines are met.
- Processes payroll deductions for garnishments and other approved deductions.
- Maintains records of associate benefits as related to payroll processing.
- Prepares governmental reports and initiates remittance within appropriate date expectations.
- Remits taxes and other amounts withheld to appropriate entities.
- Creates and Manages the yearly payroll calendar.
- Responds to and resolves any inquiries regarding paychecks.
- Maintains time and attendance system and payroll module of HR/Payroll system, setup of PMI client systems. Adds new earnings codes, hour types, etc. as needed.
- Prepares and uploads monthly journal entries to the general ledger system.
- Adheres to all safety regulations and requirements.
- Handles stress well and gets along with others within the workplace and with customers outside the department.
- Maintains acceptable standards of workplace conduct
The responsibilities described above represent the primary responsibilities of the job. Other responsibilities may be assigned by the supervisor as warranted by business needs. The incumbent is expected to perform all assigned responsibilities.
ESSENTIAL QUALIFICATIONS
Education:
- Bachelor’s degree in business, accounting, or a related field preferred. May consider 5 or more years of related experience in lieu of the degree.
Knowledge and Skills (required unless otherwise noted):
- A minimum of 2-3 years of experience with in-house payroll processing.
- Knowledge of payroll tax laws, garnishments, and wage and hour laws
- Advanced keyboard skills
- Advanced computer skills, including Microsoft Windows, Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Intermediate knowledge of automated timekeeping and payroll processing systems (preferably Kronos, UltiPro, Cognos).
- Advanced 10-key skills.
- Intermediate knowledge of basic accounting concepts such as accruals, bank reconciliation, employee/employer tax and benefit accountability, payroll tax collection and remittance.
- Ability to read, analyze, and interpret technical journals, financial reports, and legal documents.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
- Ability to apply concepts of basic algebra and geometry and apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Advanced customer service skills.
- Organized and detail oriented.
SPECIAL WORKING CONDITIONS
- Work is performed in an environmentally controlled office setting with no exposure to hazardous conditions or materials.
- The associate is subject to an inside environment which provides protection from external weather conditions but not necessarily from temperature changes.
- Though work is performed in a typical office environment, the associate maybe required to function around individuals with challenged mental capacities.
- All associates may be called upon to assist other departments in a declared emergency situation.
Physical and Mental Demands

- The position requires exerting up to 10 lbs of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Work involves sitting most of the time. Additionally, walking, standing, stooping, kneeling, crouching, and/or squatting with occasional flexibility in changing positions are required.
- The associate is required to have close visual acuity to perform activities such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading. The associate should be able to communicate effectively through spoken and written word.
- May need to stoop/bend, kneel, crawl, reach. Frequent sitting.
- Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
- Must be able to speak and hear.
SUPERVISION RECEIVED/GIVEN
Receives direction from the Director of Finance. Oversees the work of associates assigned to assist with time record and payroll processing. No direct reports.

Experience
