The Department of Chemistry is seeking candidates for Program Assistant Role role.
The Department of Chemistry at The College of New Jersey is an academic department which provides an inclusive education in modern chemistry that is approved by the American Chemical Society to offer accredited degree pathways. The Department’s 15 full-time faculty, 2 lecturers, 3 professional staff members, and multiple adjuncts provide the education for approximately 100 majors and many more non-majors interested in the chemistry adjacent disciplines from biology, pre-health tracks, computer science, and engineering. The Department is active with the American Chemical Society at the local, regional, and national levels along with other professional societies aligned with scholarly interests. Our students are among the best in the country with excellent outcomes in finding jobs, gaining entrance to graduate programs, finding teaching positions, and gaining entrance to a variety of health profession schools.
The program assistant is the primary office support for the Department. They are the face of the Department, responding to the initial inquiries regarding classes, placement exams, events, etc. The Program Assistant will ensure the smooth operation of the academic and fiscal responsibilities of The Department. They will collaborate with two non-teaching members of the department, the laboratory manager and instrumentation technician to offer the best service to our TCNJ community and visitors.
Main Responsibilities:
- Staffs the main office and supports everyone who visits or communicates with the Department using inclusive language.
- Manages departmental data and cloud systems to course scheduling, budgeting, information archiving through cloud drives, department calendars, and email accounts
- Interfaces with campus partners to problem solve course scheduling, budgeting, and rooming
- Supports Department committees and serves as a primary source of information for Department and campus processes
- Manages the hiring and onboarding of adjunct, temporary, and full time instructors, student learning assistants, and student workers.
- Manages faculty and student travel using campus software and final receipt submission
- Manages special activities and events such as commencement, welcome week, orientation, recruitment events, lectures, and symposia
Required Qualifications:
- Graduation from an accredited college with a bachelor’s degree, preferably in the sciences
- Experience with office/department management, budgeting, online systems, and/or student advising, is preferred
- Experience using the Google and/or Microsoft software suites.
Preferred Qualifications:
- Strong written and oral communication abilities to compose correspondence, communicate with stakeholders, write reports, and update public information on websites and in-house publications
- Ability to establish and maintain good working relationships with faculty, students, alumni, Dean’s Office, other academic departments, and other essential campus entities
- Ability to gather data and produce reports
