The high level:

The Program Operations Associate (POA) is a part-time member of the program staff at Reading Partners, North Texas. This role will be essential to carrying out our mission by helping us recruit, select, engage, hire, and onboard our AmeriCorps Members (ACMs) - who commit to a year of service serving full time in a public elementary school in North Texas. At the regional level, the POA reports directly to the Program Director and works collaboratively with Program Managers on the regional team on recruitment, onboarding, and operations to support program implementation. The Program Operations Associate role is an exciting opportunity for a highly organized, entrepreneurial, and detail-oriented professional.

What you ll do:

Implement a plan to recruit AmeriCorps members for Reading Partners, North Texas (RPNTX) through various media channels:

  • Assist with getting the word out about our available positions by emailing local churches, synagogues, nonprofits, summer camps, college professors, college club leaders, job training programs, etc. with information about our available positions.
  • Use social media/virtual spaces to get the word out and host ACM info sessions - such as posting in Facebook groups, coordinating social media ads, HBCU connect, Blavity, etc.
  • Check regularly to ensure that all job postings are active on sites like LinkedIn, Craigslist, Idealist, Handshake etc.
  • Fully document outreach processes, including success rates, to inform following years outreach plans.

Manage the interview and onboarding process to hire a diverse cohort of up to 40 AmeriCorps Members for the 2022-2023 school year:

  • Become familiar with the AmeriCorps onboarding process. Meet bi-weekly with the national AmeriCorps team to update them on recruitment strategies, challenges, and successes.
  • Keep the ACM Application Tracker up to date daily, including updating the metrics for week by week recruitment goals.
  • Schedule, conduct, and take notes on phone screens for all applicants, including applicants who are referrals. And using our selection rubric, recommend for the virtual/in-person interview when applicable.
  • Audit automated scheduling systems and schedule a note-taker into every final round, virtual interview or act as the note-taker yourself
  • Support with onboarding of confirmed candidates by ensuring they have all offer letters, background checks, IDs, and onboarding documents completed satisfactorily and submitted on time.
  • Follow up with confirmed candidates to answer questions about housing, our program, and moving to NTX as necessary.
  • Serve as the primary point of contact between RPNTX and the national HR and AmeriCorps teams.

Design and implement a plan to engage accepted applicants in RPNTX programming and culture-building prior to their formal start-date

  • Engage RPNTX staff in creating a plan for accepted member engagement
  • Create opportunities (in-person and virtual) for accepted AmeriCorps Members to engage with programming, staff, volunteers, and current AmeriCorps Members
  • Design a communications plan to ensure consistent engagement and sharing of information with accepted Members
  • Design and share a bi-weekly newsletter for accepted members

Provide day-to-day administrative support to the regional program team.

  • Track supply requests and support supply order and delivery
  • Support coordination of technology replacement

Coordinate and schedule virtual meetings on training days, working closely with Program Managers.

  • Maintain accurate invitations on the Regional Calendar
  • Support training moderation in Zoom, creating breakout rooms, taking attendance, etc.
  • Identify virtual service projects or activities

Other duties as needed.

Relationship Development & Communication:

  • Cultivate strong relationships with local organizations, religious centers, and nonprofits to ensure that their leadership is aware of Reading Partners and our AmeriCorps positions by conducting info sessions, emailing, sending flyers, and more. You are an effective communicator and a natural connector , and you have a track record of successfully establishing rapport quickly and maintaining relationships, even at a distance.
  • Ensure that information we provide to organizations and potential candidates is accurate, thorough, and engaging.

Project Management:

  • Demonstrate an ability to manage time effectively, balance multiple competing priorities at once, and, above all, and remain adaptable, flexible, and positive while navigating challenges. Anticipate challenges and/or questions and proactively act to address them. Understand more significant strategic priorities and make measurable progress against these larger goals. Show an ability to make quick, sound, and on-the-fly decisions that consider all stakeholders. See the bigger picture and be able to drill down to smaller details and connect the dots.

Innovative Thinking:

  • Demonstrate an ability to create processes and systems to streamline internal operations in the region. Demonstrate a high level of comfort with ambiguity and an ability to create order. Demonstrate an aptitude for framing problems as opportunities and constantly pushing to streamline further.

You ll be successful in this role if you:

  • Boast a deep belief in our mission

  • Have experience with community outreach and recruitment
  • Can work independently or with limited supervision
  • Interact effectively with diverse groups of people
  • Are proficient at conducting interviews, using Google Suite and Zoom, or another video conferencing platform
  • Have excellent time management skills
  • Experience reviewing data with close attention to detail

  • Are bilingual (Spanish speaking preferred)
