We are seeking a full-time Scheduling Coordinator for caregivers who provide in-home care to seniors. This position is responsible for scheduling new clients from Intake, handling all day-to-day activity from clients and caregivers, monitoring caregivers missed time in and out, providing support as needed to assist filling open shifts.
Job Duties
- Performs and oversees clerical/scheduling activities that facilitate care operations, including coordination of employee schedules with client care plans and preferences, processing intake information, and communication with referral sources and internal partners
- Manages the completion of appropriate documentation
- Provides appropriate notification of schedule to employee, client, contract agency, supervisor, and others as appropriate
- Monitors and manages payroll records of employees including regular pay, overtime, mileage, and time off.
- Responds to emergency calls and arranges schedule accordingly
- Provides direction to direct care employees and communicates with internal partners as needed related to schedule changes, change in conditions, or other client related updates.
- Assures employees receive complete and accurate directions and information about client needs as directed by licensed professional staff, care plan and service request
- Reports any scheduling changes and/or client concerns.
- Notifies client of changes and monitors employee performance in areas of dependability, responsiveness, timeliness, and client concerns
- Ensures clients and direct care staff are treated and communicated with in a timely, respectful, and collaborative manner.
- Manages after hours, weekend, and holiday schedules.
- Participates in the evaluation and performance review of scheduling team as well as direct care staff.
- Verifies time records in preparation for payroll.
- Participates in determining hiring needs
- Notifies Supervisor/Human Resource Department of staff needs
- Performs job in compliance with Agency policies and procedures as well as community and professional standards
- Assures compliance with applicable state, federal, CHAP, and Joint Commission standards
- Accepts responsibility for personal and professional development
- Recognize and capture opportunities to increase service hours utilization in scenarios to enhance and/or increase the quality of care
- Manage and report weekly scheduling, caregiver performance, and shift completion data
- Communicate and reinforce CareAparent policies and procedures
- Oversee the work of each Scheduling Coordinator; address minor discipline problems as needed, referring more serious cases to SVP of Care Operations
- Performs other related duties and responsibilities as deemed necessary
Work Experience
- Minimum of one (1) year of relevant scheduling experience.
- Minimum of one (1) year of relevant experience in high-volume, fast-paced environment.
- Minimum of one (1) year of leadership experience preferred
