Work Schedule

Second Shift: Tuesday - Saturday 3:00 PM to 11:00 PM. Some holidays are required.

The anticipated starting hourly rate range is $17.80 to $20.47 (based on 2022 rates) along with excellent benefits.

Criminal History and Background Check: Candidates will need to pass a background investigation conducted by the Waukesha County Sheriff's Department.

This position is located within the Warrants Division of the Sheriff's Department. Under supervision of the Office Services Coordinator, this position has responsibility for the following tasks:

Process and file warrants
Log warrants
Disburse warrants to deputies
Maintain warrant attempt log
Perform queries
Communicate via Transaction of Information for Management of Enforcement (TIME) System
Enter warrants
Modify or supplement warrants
Confirm and cancel warrants
Withdraw warrants
Place hold on persons arrested
Enter missing persons
Cancel missing persons
Enter stolen property and vehicles
Enter injunctions for restraining orders


Under general supervision, performs skilled administrative and/or program support work in a department, division, program, or other work unit within County government. Typical duties include: prepares and maintains a variety of detailed records, reports and files, collects and disseminates data and information, responds to customer/client concerns and questions, performs basic cash management functions, assists staff with programs and projects, provides information, solves problems, responds to inquiries and performs related work as required.

DISTINGUISHING FEATURES OF THE CLASS

At this level, work is performed independently. Assignments are varied, involving different and/or unrelated processes and methods that require evaluation of alternate courses of action. Latitude to select the most appropriate methods and tools to get the work done are made within established administrative guidelines, regulations, or instructions. The incumbent normally receives little instruction on day-to-day work and receives general instructions on new assignments. The incumbent seldom refers matters to supervisor except for clarification of policy or resolution of unusual matters.

  • Performs all functions of Administrative Assistant.
  • Performs basic cash handling tasks and transactions and maintains account records which may include expenditures, collections, or budget information.
  • Prepares, researches, analyzes, and organizes information to produce a variety of documents, reports, informational materials, statistics, or other materials for the department.
  • Creates, updates, and maintains a variety of spreadsheets, databases, and applications; prepares reports, tables, and charts.
  • Evaluates, establishes, and maintains complex files and filing systems pertaining to the area of responsibility.
  • Identifies, responds to, and resolves inquiries and issues utilizing knowledge of the department programs and operations.
  • Provides information and assistance to customers, clients or staff regarding department programs and/or requirements, operations, policies and procedures.
  • Organizes and schedules meetings or events including meeting room set-up, technology, communication etc.
  • Identifies and resolves basic problems and refers more complex questions or concerns to appropriate staff.
  • Establishes and maintains effective, professional, positive, and respectful working relationships and communicates internally, with other County Departments/Divisions, clients/customers, outside agencies, and the general public.
  • Performs other duties as apparent or assigned.

QUALIFICATIONS

Essential Knowledge and Abilities
  • Considerable knowledge of standard office practices, procedures, and techniques.
  • Considerable knowledge of business English, spelling, grammar, and punctuation.
  • Considerable knowledge of and proficiency in MS Office products or comparable office programs, word processing, spreadsheet, and some database knowledge.
  • Considerable knowledge of standard office equipment, including telephones, fax machines, keyboards, copiers, printers, scanners, shredders, and department/division specific equipment.
  • Considerable knowledge of department requirements, policies, procedures, rules, laws, etc.
  • Working knowledge of basic math.
  • Working knowledge of department specific programs.
  • Working knowledge of unique or specialized terminology specific to department/division operations such as legal, law enforcement, health care, health insurance, environmental health, human resources, and budget.
  • Some knowledge of basic bookkeeping or accounting.
  • Ability to analyze, research and interpret complex documents, information, policies and procedures.
  • Ability to prepare and comprehend complex documents, correspondence, information, and reports.
  • Ability to analyze and resolve problems.
  • Ability to access and navigate the Internet, County or department-specific applications or programs.
  • Ability to follow and understand advanced oral and written instructions.
  • Ability to work independently and as a member of a team and deal with people in an effective and timely manner.

Minimum Qualifications

You must meet these minimum Education and Experience requirements:

  • High School Diploma or GED.
  • Two years post high school work experience providing administrative support.
  • One year of recognized post high school training in business, administrative professional, or closely related field may substitute for one year of the work experience requirement.

Regular part-time employees earn one-half (½) holiday benefits.

Some employees are required to work on holidays. In these cases, extra compensation or an alternative day off may be authorized.

Floating Holidays
2 paid floating holidays earned on February 1 and June 1.

Sick Leave
8 hours earned per month, up to a maximum of 960 hours.

Funeral Leave
Up to 24 hours of leave with pay to attend the funeral of an immediate family member.

Health Insurance – High Deductible Health Plan
County pays 85% of premium and employee contributes 15% of the premium.

Health Savings Account
Pre-tax savings account that can be used for qualifying medical expenses (e.g. office visit fees, co-pays, prescriptions, vision and dental). County contributes to health savings account based on Health Risk Assessment completion - $2,250 for family plan and $1,125 for single plan.

Onsite Health and Wellness Clinic
Available to individuals who are enrolled in the County's health insurance plan including employees, spouses, and children ages 2+. Preventive care services are free. All dispensed prescriptions are $2. Dispensed available ACA preventative medications are $0 cost. Non-preventative care visits are $28. Physical therapy is $28 per visit. No cost for office visits after deductible is met. Clinic staffed with MD and Physician Assistant, Physical Therapists, and Health Coaches.

Dental Insurance
Choice of two dental plans. Coverage begins on the first day of the month following 6-months of employment.

Vision Insurance
Coverage begins on the first day of the month following 60-days of employment.

Retirement Pension
As a full-time employee, you will automatically be enrolled in the Wisconsin Retirement System. This pension is administered by the State of Wisconsin Department of Employee Trust Funds. You are required to pay the employee's share of contributions to the fund, while Waukesha County contributes the employer's share. Employees are vested in their portion of contributions immediately and after five years of creditable service for the employer contribution. Part time employees are enrolled and required to pay the employee's share of contributions after working 1,200 hours of work in any 12-month period.

Group Term Life Insurance
Automatic coverage in life insurance at no cost to employee. Coverage effective first of the month following six months of employment. Coverage upon hire is one times annual salary and then transitions to one times prior year gross salary after at least one full calendar year of employment is completed.

Voluntary Supplemental Term Life Insurance
Additional voluntary coverage for an employee at the employee’s expense. May purchase amount in increments of $25,000 up to $200,000. No medical underwriting upon initial eligibility. Coverage effective first of the month following six months of employment.

Dependent Life Insurance
Voluntary life insurance coverage for a spouse or dependent child at the employee’s expense. Coverage effective first of the month following six months of employment.

Option 1:$20,000 (spouse)/$10,000 (child) - $4.00/month
Option 2: $10,000 (spouse)/$5,000 (child) - $2.00/month

Dependent Care FSA
Optional pre-tax benefit account where employees to deduct up to $5,000 ($2,500 if married and filing separate federal income tax returns) that can used to reimburse self for eligible dependent care services such as child or adult daycare. Coverage effective first of month following 60 days of employment.

Healthcare FSA
Optional pre-tax benefit account where employee can contribute pre-tax dollars to pay for health care expenses not covered under a group health, dental, or vision plan such as deductible, co-insurance, co-pay etc. Must not be enrolled in an HSA Qualifying High Deductible Health Plan to elect. Coverage effective first of month following 60 days of employment.

Retirement Health Savings Plan
Automatic enrollment in a retirement health savings plan. County makes contributions each month on the second paycheck of the month on behalf of employee. Effective the first of the month following employment.

Long-term Disability Insurance
Automatic coverage in long-term disability. County pays 100% of monthly premiums. Coverage effective the first of the month following employment.
