The Insurance Operations & Administrative Associate is responsible for our firm’s underwriting department as well as a variety of administrative tasks (virtual receptionist, calendar management, technology coordinator, client service/sales support, client outreach and project support). Our Wealth Management team is comprised of two advisors and two associates. Compensation and Benefits:
- Base Salary: $58,000 - $72,000, commensurate with experience
- Health Insurance, Paid Time Off, Vacation Days

Insurance Operations & Administrative Associate’s primary responsibilities:
Ø Underwriting: onboarding (first point of contact w/client & home office), process & finalize all insurance business
Ø Reception/Admin: firm’s gatekeeper, field all inbound email & phone calls, highly responsive to client inquiries
Ø Calendar Management: reminder/follow up calls, coordinate team meetings, input details in multiple calendars
Ø Technology Coordinator: manage CRM; manage client website (help clients/team navigate, aggregate accounts); manage the digital sales process (eagerly interact w/clients to ensure they have a good digital client experience)
Ø Client Services: field/address policy owner service questions; policy, beneficiary & ownership changes; billing
Ø Sales Support: run term, long-term disability & long-term care proposals; run approved for/applied for proposals
Ø Client Outreach: send emails/make calls for age change/birthdays; some internet leads/inbound sales calls
Ø Project Support: provide assistance to strategic project support as needed
Qualifications and skills for the Insurance Operations & Administrative Associate:
Ø Bachelors, preferably from a Tech or Business School
Ø Verifiable work/school history of setting and achieving goals
Ø Polished & professional customer service experience
Ø History of completing projects/tasks within specified deadlines
Ø Proficiency a MUST in: CRM system; Outlook, MSFT WORD, EXCEL, PowerPoint
Ø Active listener and direct but empathetic communicator – deft in both written & oral communication
Ø Strong time management and detail-oriented with the ability to stay highly organized and accurate
Ø Motivated by independence and working within the framework of a team; willingness to learn & be coachable
Ø Competent in project management and execution to meet deadlines
Ø Adept with leaning new software quickly – very tech savvy
