Job description
Must be fully vaccinated for COVID-19 including two doses of a 2-dose series or a single dose of a 1-dose series prior to start date. Fully vaccinated is defined as 14 days post series completion date.
Vancouver Clinic is seeking a Full-time Surgery Coordinator who serves as a liaison between the providers and patients, both by phone and in person, for surgical procedures performed at ancillary facilities. Communicates effectively with ancillary facilities to utilize block time for department physicians. May obtain insurance authorization and benefits depending on the department workflows. Excellent communication skills and attention to detail required.
Schedule: Monday - Friday, 8:00am to 5:00pm at our Salmon Creek location

ESSENTIAL FUNCTIONS and RESPONSIBILITIES:
Surgery Coordination
  • Coordinates scheduling of surgery, verifying procedures and special equipment needs.
  • Coordinates scheduling of assistant surgeons.
  • Schedules patient specific appointments related to surgery.
  • Conveys information to patients per doctor’s direction, related to surgery.
  • Forwards surgery requisition, consents, diagnostic test results, etc. to ancillary facilities.
  • Obtains additional block time or releases block time for surgeons when needed.
Financial Coordination (varies by department)
  • Contact insurance companies to obtain insurance referrals as necessary for specific patient procedure.
  • Obtains insurance authorization related to surgery.
  • Monitors and confirms verification of insurance benefits, for specific month procedure is scheduled.
  • Provides education regarding out of pocket expenses and addresses insurance related questions for patients.
Scheduling
  • Schedules appointments related to surgeries.
  • Processes referral work queues according to department workflows.
  • Triages procedure referrals according to department workflows.
  • Updates demographics in the electronic medical record.
  • Coordinates provider procedure schedules under direction of Surgery Coordination leadership.
Documentation
  • Documents appropriate information in the electronic medical record. Entries are date and time specific, follow medical record standards, and include accepted medical abbreviations and terminology.
  • Maintains records related to surgeries, authorizations, and special needs of patients.
SKILLS AND ABILITIES:
  • Strong written and verbal communication skills.
  • Excellent customer service skills.
  • Detail oriented and ability to multi-task effectively.
  • Working knowledge of medical terminology.
  • Working knowledge of computers and basic software programs.
  • Ability and flexibility to deal effectively with interruptions.
  • Ability to work independently yet function as part of a team.
  • Ability to organize and prioritize workflow independently.
  • Strong time management skills.
EDUCATION AND EXPERIENCE:
  • High school diploma or equivalent required.
  • Two years’ experience in a health care environment providing direct administrative patient care strongly preferred.
  • Prefer those with Epic EHR experience.
Pay Range:
$18.29 - $25.61

Benefits-eligible employees accrue PTO and Personal Time based on hours worked and State worked, totaling 120 hours in the first year for full time staff and 200 hours in the first year for full time supervisors and above, increasing in subsequent years. PTO and Personal Time accruals are pro-rated by FTE/hours worked. Non-benefits eligible employees will accrue Personal Time based on hours worked and State worked.
